Privacy Policy

How we collect, use and protect your information when you visit our websites or use our services.

Information We Collect

Information you give us directly, when you:

  • Contact us by phone, email, or through our website
  • Open a support ticket
  • Schedule an appointment
  • Sign up for our newsletter (name, email, phone, optional)
  • Pay an invoice online
  • Start a remote support session

This may include your name, address, phone number, email address, and details about the computer or network issue you're contacting us about.

Information collected automatically when you visit our site: Google Analytics records IP address, browser type, pages viewed, and how you found us. We also run our own analytics, which records the pages you visit, how you got here, an approximate location, and technical details about your visit. Two things about it are worth calling out:

  • It keeps a random identifier in your browser, so we can tell a returning visitor from a first-time one.
  • Our staff can see this activity live while you're on the site: that's what lets a technician offer help at the moment you look stuck.

None of it is used for advertising or shared with anyone. If your browser sends a “Do Not Track” signal, our own analytics doesn't run: we don't record your session, the pages you view, where you came from, or your approximate location, and you won't appear in the live view our staff sees. We do keep an anonymous count of such visits, so we know how much of our traffic goes unmeasured. That count is a running total per site and nothing more: it contains no identifier, no page, and no location, and there is no way to connect it back to you or to a particular visit.

Information from monitored devices: If you're on a Maintenance Plan or use Bay Geeks SOC/EDR, we install monitoring software (N-able) on your enrolled device(s) to deliver that service. It reports device health, patch status, security scan results, and antivirus/EDR alerts back to us: that's the data the service is built on. It does not give us access to your personal files, browsing activity, or the contents of your device beyond what's needed to monitor its security and health.

Payment information: Invoices are generated and sent through Hiveage, our billing system, and paid via PayPal or Stripe depending on the type of charge. Bay Geeks does not receive, process, or store your credit card or bank account numbers.

The Website Chat Assistant

The chat bubble on our site is an AI assistant, not a person. What you type is sent to Anthropic, the company behind the AI model that writes the replies, so please don't type passwords, card numbers, or other sensitive details into it. We keep a record of the questions asked so we can see what the assistant gets wrong.

If you ask for a human, the recent conversation is shown to a technician and the transcript is stored. If you request a callback, the details you give us are saved and added to our contact and billing systems so we can follow up.

The Speed Test

Our speed test measures your connection by transferring data between your browser and the nearest Cloudflare edge server. To do that it reads four things from the connection and displays them back to you on the page: your IP address, the name of your internet provider, which Cloudflare location answered, and the protocol your browser negotiated.

That information is shown to you and nowhere else. We don’t store it, the test writes nothing to a database, and none of it is attached to the analytics record of your visit. When a test finishes we record an anonymous event noting the profile you chose, your rounded download and upload speeds, and the latency grade: enough to know the tool is being used, and nothing that identifies you. Your IP address is not part of it.

Two things are worth knowing anyway:

  • The Copy results button includes your IP address in the copied text, because it’s genuinely useful to a technician diagnosing a connection. If you paste those results into a support ticket or an email, your IP address goes with them. Delete that line first if you’d rather it didn’t; the rest of the results still make sense without it.
  • Cloudflare sees your IP address during the test exactly as it does on every other page here, because it delivers this website. Google Analytics likewise already records an IP address for every page you visit. The speed test doesn’t hand either of them anything they weren’t already receiving.

How We Use Your Information

We use your information to:

  • Respond to your inquiries and provide the service you requested
  • Schedule and manage appointments and support tickets
  • Process payments
  • Send you service-related communications (appointment confirmations, invoices, receipts)
  • Send you our newsletter, if you've opted in; you can unsubscribe at any time via the link in every email
  • Understand how visitors use our website so we can improve it
  • Answer questions through our website chat assistant, and hand you to a technician when it can't
  • See which pages and which questions lead people to contact us, so we can improve both the site and the assistant

We do not sell your personal information to third parties. We do advertise, and we use the LinkedIn Insight Tag to measure it: it records which pages you view here so we can tell whether an ad actually brought someone in, and so LinkedIn can show our ads to people who have visited this site. It does not receive your name, email, or phone number from us. You can turn it off in your LinkedIn account's advertising settings, or block it with a content blocker.

When We Share Your Information

We share your information only:

  • With the third-party services listed above, as needed to provide you the service you requested
  • If required by law, subpoena, or court order
  • With your explicit permission

We do not share medical, financial, or other sensitive personal information except as necessary to process a payment (handled entirely by our payment processors, PayPal and Stripe, not by us).

No mobile phone numbers or SMS opt-in data are shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are shared only with the vendors that deliver the messages themselves (our messaging provider, Twilio). See our SMS Terms for how our text support line works.

Your Choices

  • Newsletter: Unsubscribe anytime via the link in any newsletter email, or by contacting us directly.
  • Remote support: Every remote session requires your explicit approval before it starts, and access ends completely when the session closes.
  • Do Not Track: If your browser sends a Do Not Track signal, our own analytics doesn't run: no session, no pages, no location, and you won't show up in our live visitor view. The one thing we keep is an anonymous tally of how many such visits happen, which records nothing about who you are or what you looked at. Google Analytics and the LinkedIn Insight Tag are separate: neither honors Do Not Track. Control those in your browser, with a content blocker, or in your LinkedIn advertising settings.
  • The chat assistant: Entirely optional; email and support tickets reach us without it. Our phone line is answered by the same assistant, which can pass you to a technician whenever you ask.
  • The speed test: Entirely optional, and nothing about a run is stored. Your IP address is shown to you on the page; it only reaches us if you choose to send us your results, and you can delete that line before you do.
  • Access or deletion: To request a copy of the information we have about you, or to request deletion, email support@baygeeks.com.

How Long We Keep It

Automatically collected browsing activity is deleted after 30 days. Chat transcripts and callback details are kept until we no longer need them, or until you ask us to remove them. Records tied to invoices, tickets, and active service plans are kept as long as needed for business and tax purposes.

Cookies and Local Storage

Google Analytics and the LinkedIn Insight Tag set cookies. Our own analytics doesn't; it keeps its identifiers in your browser's local storage instead. Clearing your browser's site data removes all three.

Children's Privacy

Our services are directed at adults and businesses. We do not knowingly collect personal information from children under 13.

Changes to This Policy

If we make material changes to this policy, we'll update the "Last updated" date above. We encourage you to review this page periodically.
