A signed Business Associate Agreement is a standard part of onboarding any practice whose systems handle protected health information; the Security Rule requires that written contract (45 CFR 164.308(b) and 164.314(a)). HHS does not certify any person or product as HIPAA compliant, so "HIPAA certified" is a marketing phrase, not a credential: look for an IT provider that follows the Security Rule and signs your BAA.
We carry $1M/$2M general liability, $1M cyber liability and errors & omissions insurance, so if something goes wrong on our watch, there's a policy behind us, not just an apology. Certificate of insurance on request.
The person who accesses your network is the owner, Alden Stenberg, who has passed a background check, and your signed agreement binds Bay Geeks to confidentiality.
A written policy governs access, retention and secure end-of-life drive destruction, from procurement through disposal.
See our compliance approach →A medical practice has more riding on its network than most businesses: patient care depends on systems staying up, and patient data comes with real compliance obligations. We take a compliance-minded approach to protecting sensitive health information, mapping your setup toward HIPAA and similar frameworks rather than treating security as an afterthought. That means reviewing how PHI moves through your network, where it's stored, who has access to it, and how it's backed up and encrypted.
On the compliance side, that means looking at the same things a HIPAA Security Risk Analysis (required by the Security Rule, 45 CFR 164.308(a)(1)(ii)(A)) looks at: administrative safeguards like access controls and staff training, technical safeguards like encryption at rest and in transit and audit logging, and physical safeguards like workstation placement and secure device disposal. We can't replace a compliance attorney or a dedicated HIPAA consultant, but we can make sure the technical half of that picture (the network, the endpoints, the backups) is actually built to hold up under a risk analysis or a payer audit, not just described that way on paper. On the Advanced plan, Bay Geeks SOC also produces the HIPAA-mapped audit-log and access reports a Security Risk Analysis or payer audit asks for, on a schedule, instead of in a scramble the week before.
We're also comfortable with the day-to-day reality of a clinical environment: nurse stations and administrative workstations that both need to stay online, a guest or patient Wi-Fi network kept separate from clinical systems, and downtime that isn't just inconvenient, it can affect patient care. A slow EHR login at a nurses' station or a dropped connection mid-charting isn't just an IT ticket; it's staff time and, at the margins, patient care. Call to schedule a site survey and we'll walk your practice with you to identify gaps before they become problems.

Common Questions
Plans are priced per computer per month, and the prices are published: Automated $75 (monitoring, tested patching, Bay Geeks EDR and unlimited cloud backup), Premium $125 (adds a live technician on demand and the help desk) and Advanced $150 per device (adds 24/7 Bay Geeks SOC monitoring). All plans have a 12-month initial term. Work outside a plan is $175 an hour: on-site with a 1-hour minimum, remote in 15-minute increments.
Plans start at $75 per computer per month, and the price covers the protection and the recovery, not just monitoring. Automated includes Bay Geeks EDR (AI-driven ransomware rollback and next-gen antivirus), unlimited cloud backup, tested security patches and third-party software updates, system lockdown, hard-drive monitoring with pre-failure alerts, vulnerability scans, and executive and detailed reports. Premium at $125 adds remote support from a live technician, the help desk with ticket tracking, quarterly network and server review calls, and device management for one phone or tablet. Advanced at $150 per device adds 24/7 Bay Geeks SOC monitoring with guided incident response, identity threat monitoring across Microsoft 365, dark web account monitoring and the $100K Adlumin Advanced Warranty (terms apply). When you compare quotes, ask whether backup and endpoint protection are in the per-device price or billed on top.
Yes. A signed BAA is a standard part of onboarding for any practice whose systems handle protected health information, and it's in place before we're given ongoing access to your network, not after.
No. HHS does not certify any person or product as HIPAA compliant, and it does not recognize private "HIPAA certifications". What a practice should ask for is a signed Business Associate Agreement, which the Security Rule requires before an IT provider handles your electronic protected health information (45 CFR 164.308(b) and 164.314(a)), and a provider whose setup will hold up under your Security Risk Analysis (45 CFR 164.308(a)(1)(ii)(A)). We sign your BAA and build to the Security Rule; we don't claim a certification that doesn't exist.
Not yet. HHS proposed a major update to the Security Rule in January 2025, including required multi-factor authentication and encryption, but it is still a proposal: no final rule has been published, and HHS's own regulatory agenda lists it as a long-term action. The current Security Rule is what applies today. We set up multi-factor sign-in and encryption for practices now anyway, because cyber insurers already ask for both.
We can assess and document the technical half of a HIPAA Security Risk Analysis: network access controls, encryption, endpoint security, backup and audit logging. For the full administrative and legal picture, we typically work alongside your compliance officer or HIPAA attorney rather than in place of one.
That's treated as a priority call, not a queue ticket, because a down scheduling or charting system stops the front desk and clinical staff at the same time. Premium and Advanced clients get a 2-hour response target during business hours; if the issue is on our side of the network (server, workstation, connectivity) we're usually working it well inside that window.
Yes, that's standard practice for any medical office we set up: a segmented guest network so a patient's or visitor's device never touches the same network as scheduling, billing or EHR systems.
Bay Geeks EDR is built to isolate and contain a ransomware event before it spreads, and on our Advanced plan Bay Geeks SOC adds 24/7 monitoring on top of that. If PHI is involved, breach notification timelines and requirements are separate from the technical cleanup, so we'd be working the incident alongside whoever handles your compliance and legal response, not instead of them.
HIPAA's Breach Notification Rule (45 CFR 164.400 to 164.414) requires a practice to notify affected patients without unreasonable delay and no later than 60 calendar days after discovering a breach, and Florida's Information Protection Act (Fla. Stat. 501.171) has its own 30-day notice rule. As your business associate, we report a breach to you under the terms of our BAA so your clock isn't spent waiting on us, and we help contain it and preserve the logs. Who has to be notified, and how, is a question for your compliance attorney.
That's the problem MDR was built to fix. The security platform behind Bay Geeks SOC publishes a case study on an Ohio area agency on aging that handles protected health information for roughly 40,000 older adults with two IT staff. It relies on the same 24/7 SOC, one-touch HIPAA reporting and automatic account lockdown we include on the Advanced plan, and credits the platform with catching a compromised login and forcing a password reset “within minutes.” For a practice, Advanced is $150 per device per month, which is the security half of a hire you were never going to make.
Yes. Bay Geeks has been in business since 2004 and works from its own office at 1655 20th Ave S., St. Petersburg, FL 33712 (map and directions). We support medical practices across Pinellas and Hillsborough on-site, remotely and with pickup & return, and same-day appointments are usually available. Call 727-579-4335.
Start With Evidence
Our Business Risk Assessment inspects your accounts, email, computers, backups, office network and what the internet can see, then ranks every finding in plain English and prices the fixes. For a medical practice, it is strong input to the risk analysis HIPAA requires. It is not a certification or a legal opinion.
$495 flat for up to 10 computers, credited toward a maintenance plan if you start one within 30 days of the walkthrough.
When Patients Ask AI
People now ask ChatGPT and other AI assistants questions like “Which pediatrician near Clearwater is taking new patients?” The answer names a few practices. Our free AI Answer Snapshot asks the assistants the questions your patients ask, then shows you which practices they named, whether yours was one of them, and the sources they cited. It uses public questions and public answers only: no patient information is involved.
Free, with no obligation. If there’s a gap, Search & AI Visibility Care tracks those answers every week and works on the sources behind them every month.
