Battery Backup: How To Choose The Right One

Most battery backup units on a shelf look interchangeable: a box, a handful of outlets, a runtime number on the label. What actually matters (topology, waveform, and whether the runtime number was measured anywhere near your real load) isn’t on the front of the box, and it’s the difference between a UPS that quietly does its job for years and one that either gets returned or fails you the one time it counts.

This guide covers what a UPS actually protects against, the three topologies and which one fits which device, how to size one correctly instead of trusting the marketing number, the spec sheet items worth checking before you buy, and where the line sits between a desktop unit you pick yourself and a setup worth planning with someone who does this for a living.

What A UPS Actually Protects Against

“Power protection” covers several distinct problems, and not every UPS handles all of them the same way.

Surge / spikeA brief overvoltage event, often from lightning nearby or the grid itself switching load. This is what a basic surge protector strip already handles; a UPS handles it too, plus everything else on this list.
Electrical noiseHigh-frequency interference riding on the power line, from nearby motors, dimmers or other equipment. Rarely damages anything outright, but can cause odd, hard-to-trace glitches in sensitive equipment.
Frequency variationThe AC waveform running off its nominal 60Hz. Uncommon on U.S. grid power, but relevant if you're running from a generator, which is exactly when a UPS is doing its most important work.

The Three Types (Topologies)

Every UPS on the market is one of three designs. This is the single most important spec on the page, and it's usually the one buried in the fine print instead of the headline.

The AVR step also saves battery cycles, since it isn't invoked for every minor sag.
Online (double-conversion)Continuously converts incoming AC to DC and back to AC, so connected equipment is always running off the UPS's own clean output, never directly off utility power. Zero transfer time, because there's no transfer to make. Most expensive, and the least efficient (some power is lost in the constant conversion).Servers, network core equipment, anything where even a few milliseconds of interruption is unacceptable, or where the incoming power quality is genuinely bad rather than just occasionally interrupted.

Match The UPS To What It's Actually Protecting

The right size and type depends entirely on what's plugged into it. A UPS sized for a desktop and a UPS sized for a rack of servers solve completely different problems, even though both are technically “a battery backup.”

NAS or small serverEnough runtime for an automated, graceful shutdown, plus monitoring software that actually triggers it. An interrupted write during a hard power loss is how a NAS's file system gets corrupted, not just an inconvenience.
POS terminal / registerEnough runtime to complete the transaction in progress and close out properly, since an interrupted card transaction or till close is its own headache separate from the hardware.
Security cameras / NVRRuntime matched to how long you actually need recording to continue during an outage, which for most small businesses is “long enough to cover the outage itself,” not indefinitely.
VoIP phone systemRuntime for the ATA/PBX gear plus whatever it depends on upstream (modem, switch). A phone system that stays powered but has no internet path out is still down.

Sizing It Correctly

This is where most returns and most disappointment come from: a unit that looked plenty big on the shelf, sized against a number that didn't reflect the real load.

The confusion

VA vs. Watts

UPS capacity is usually advertised in VA (volt-amps), but your equipment draws watts. The two aren't equal; a typical power factor of around 0.6 means a “600VA” unit is really only good for about 360 watts of continuous load. Look for the watt rating on the spec sheet, not just the VA number on the front of the box.

Add up the real load

Check the wattage (or amperage × voltage) on every device that will plug into the battery-backed outlets and add them up. A power strip's worth of monitors, a desktop, a small switch and a modem adds up faster than it looks.

The headroom rule

Stay under about 80%

Running a UPS near its rated maximum shortens battery life and leaves no room to add a device later. Sizing to roughly 125% of your calculated load is a reasonable rule of thumb, not just a sales upsell.

The number that lies

Runtime is load-dependent

The runtime printed on the box is usually measured at a fraction of rated capacity. The same unit run near its limit delivers a fraction of that number. Check the manufacturer's runtime chart at your actual wattage, not the headline figure.

The Spec Sheet, Decoded

WaveformPure sine wave for anything with an active-PFC power supply (most desktops, NAS units and servers built in the last decade or so). A stepped or “simulated” sine wave can cause that equipment to shut down, run its fan loudly, or shorten the power supply's life on battery power.
Automatic voltage regulation (AVR)Present on line-interactive and online units, absent on standby units. Buys extra battery life by correcting brownouts in place instead of switching to battery for every minor sag.
Management port + shutdown softwareA USB or network port plus the vendor's free monitoring agent, so an unattended server or NAS shuts down cleanly before the battery actually runs out, instead of just going dark.
Replaceable batteryLook for a user-replaceable battery cartridge rather than a sealed unit that requires replacing the whole UPS at end of life.

What A UPS Won't Do

A consumer or small-business UPS buys minutes, not hours. Its job is to bridge a short blip or give equipment time to shut down cleanly, not to keep a home or office running through a multi-hour outage. During Florida's storm season, that distinction matters: a UPS is what keeps a server from corrupting a file system when the power blinks; a generator or a much larger battery bank is what's actually needed to ride out an extended outage. Sizing a UPS bigger doesn't change that math much, since battery capacity and cost both scale steeply as runtime requirements climb past the “graceful shutdown” range.

Common Mistakes We See

Home vs. Small Business

Maintenance: The Part Everyone Skips

A UPS's battery is a consumable, not a one-time purchase. Sealed lead-acid batteries typically last 3 to 5 years under normal conditions, and heat is the biggest factor that shortens that: a garage, an unconditioned closet, or anywhere else that runs warmer than a living space in Florida will wear a battery faster than the manufacturer's stated life. Run the unit's self-test periodically (many do this automatically on a schedule), and replace the battery proactively rather than waiting for a low-battery alarm to find out it's already too late.
